Singaraja- Universitas Pendidikan Ganesha optimizes e-Office and Electronic Signature implementation. This is an effort to realize a more effective and efficient services.
Optimization of e-Office and Electronic Signature implementation was conveyed by administrative staff who handle correspondence within Undiksha through a Focus Group Discussion (FGD) held by the Technical Implementation Unit of Information, and Communication Technology (UPT TIK) Undiksha, at the Bali Taman Hotel, Buleleng, Wednesday (23/11/ 2022).
On this occasion, the Head of UPT TIK Undiksha, I Ketut Resika Artana, S.T., M.Kom., explained that e-Office and Electronic Signature by Undiksha had been initiated in 2019. As a new system, its application still needs to be optimized. “So with the e-Office for document distribution, letters will be more effective and efficient, faster because they can be distributed digitally,” he said.
Meanwhile, for the use of Electronic Signatures, according to the lecturer from Ringdikit Village, Seririt, Buleleng, electronic documents distributed will have higher security, the authenticity or originality level can be accounted for, and documents cannot be changed when distributed. “So when we receive the document, the sender will never deny having sent the document. Because all of it has been certified electronically and has been verified by the National Cyber Agency’s Electronic Certification Center,” he said.
He hopes that through this FGD, staff understanding regarding the implementation of e-Office and electronic signatures can be more optimal and impact Undiksha’s services and qualities.
The FGD was opened by the Head of the Undiksha General Affairs and Finance Bureau, Ni Luh Wayan Yasmiati, S.H., M.Pd. She, who represented the Rector of Undiksha, said that with the demands of information technology, Undiksha must innovate services, including in the administrative field. “So, we have to follow. Otherwise, we will be far behind, and it will be a threat to us if we do not master information technology,” she said.
Specifically for the implementation of e-Office and Electronic signature, Undiksha has prepared adequate infrastructure. “The leadership has provided support by providing the budget, infrastructure, and human resources as well,” she said.
After this FGD, UPT TIK is expected to be able to provide ongoing assistance to employee staff so that the implementation of e-Office and Electronic signature can run well and as expected. “After the launch of the Electronic signature and e-Office, for the next six months, UPT TIK must provide assistance, both to operators, secretaries, must be monitored, supervised continuously, so they can use it properly,” she concluded.
