Singaraja- Ganesha University of Education (Undiksha) pays serious attention to the field of archives. Management in the future is expected to be better and more optimal. Supporting this, the tertiary institution in this stretch of North Bali drafted a Chancellor’s Regulation concerning Archive Retention Schedules and Archive Shrinkage Guidelines within the Ganesha University of Education. The draft regulation is being reviewed and discussed in depth through FGD, Thursday (15/9/2022).
The Head of the Archives Management Team, I Made Yoga Yasa, S.T., M.T., explained that as an educational and public service institution, Undiksha manages various types of archives that are very much needed to complement administration and other matters. On the other hand, there are also archives that have experienced shrinkage. For this matter, management needs to be under the umbrella of regulations. “With the regulation, we will know how the archive management mechanism is. Good on retention schedules and depreciation guidelines. That is why we took the initiative to prepare a draft regulation,” he explained.
The draft regulation will be studied and examined in depth, in accordance with ANRI Head Regulation Number 22 of 2015 concerning Procedures for Determining Archive Retention Schedules. “The draft regulation will later be submitted to the Undiksha Senate for further discussion and after approval by the senate, it will be submitted to ANRI for consideration. We hope that in the future it will become a regulation,” he added.
Meanwhile, the Head of General Affairs and Finance Bureau Ni Luh Wayan Yasmiati, S.H., M.Pd., who was present at the FGD expressed his appreciation for the initiation of the Draft Chancellor’s Regulation concerning Archive Retention Schedules and Guidelines for Archive Shrinkage within the University of Education Ganesha. This shows that Undiksha is committed to realizing a structured and systematic archive management. “This regulation is certainly aimed at creating better performance in the archives sector,” she said.
She further conveyed, apart from being related to regulations, archive management also really needs to be supported by innovation. One of them is by utilizing technology. “This is to facilitate the coordination of continuous sources of information. In addition, it can properly use archivists as archival HR who are more efficient in the archival acquisition, archive management, archival information, and their destruction,” she added. (hms)
