Singaraja- Ganesha University of Education (Undiksha) has undertaken steps to optimize archive management and enhance the capacity of its archival managers. One such initiative was the supervision and technical guidance (Bimtek) held on Friday, July 19, 2024.
This session was attended by archival managers from various departments within Undiksha. The training material focused on the management of both static and dynamic archives. The Head of Archives at Undiksha, I Made Yoga Yasa, S.T., M.T emphasized that one of the primary responsibilities of archival managers is to ensure that archives are protected and preserved for the benefit of government institutions and public services. Additionally, archives serve as valuable sources of information and legal evidence when needed.
Effective archive management is essential for preserving the value and utility of archivists as legitimate sources of information that support accountable and transparent administrative activities. These activities play a crucial role in community development by safeguarding and maintaining both individual and collective memory.
Yoga Yasa also highlighted Undiksha’s ongoing efforts to manage the archives efficiently and effectively to positively impact various work units. These efforts are supported by Rector Regulation No. 3 of 2023. “With the Rector’s Regulation on Archival Management at Undiksha, it is deemed necessary to conduct supervision and technical guidance sessions to enhance archival knowledge,” he stated.
Furthermore, the Undiksha Archived Center has been actively engaged in fostering archival practices through socialization, guidance, and training in line with the Rector’s Regulation. These efforts continue to be optimized through the strengthening of human resources, infrastructure, and budgetary support. “From the supervision and monitoring conducted across all work units at Undiksha, several units have already demonstrated good practices in archive management and a strong commitment to these efforts. We will continue to optimize these practices to ensure that Undiksha’s archives meet the required standard.”
The supervision and Technical Guidance were officially opened by the Vice Rector of Undiksha for Planning, Finance, and General Affairs, Prof. Dr. I Wayan Artanayasa, S.Pd., M.Pd. He expressed the importance of this initiative in realizing improvements in archival management. He also reiterated that archival managers must adhere to the Rector’s Regulations in their work.
In addition to the training material, Bimtek participants were also introduced to best practices in archive management at the Faculty of Language and Arts, covering the systematic processes of receiving, storing, utilizing, maintaining, and disposing of documents. It is hoped that the knowledge gained will be applied within each participant’s respective work unit.
