The Ganesha University of Education (Undiksha) archivist team continues to work on increasing the capacity of tasks and functions. One of them is through strengthening understanding of the Regulation of the Minister of Education, Culture, Research and Technology Number 20 of 2022 concerning Organizing the Archives of the Ministry of Education, Culture, Research, and Technology. This regulation was socialized from 26 to 28 September 2022 in Tangerang, Jakarta.
The Head of the Undiksha Archives Team, I Made Yoga Yasa, S.T., M.T., explained that the Minister of Education and Culture regulation guarantees the availability of authentic and reliable archives and dynamics the filing system within the Ministry of Education and Culture whose archives are organized in a comprehensive and integrated, accountable, effective and efficient manner. “Of course this is very important for us to know, what is the simplification of regulation regarding archives at the Ministry of Education and Culture,” he said.
Delivered further, these regulations will of course be socialized further to the Undiksha archivist team with the hope that later they can be implemented properly and the quality of archival management will increase. “In addition to this socialization, of course, we will convey further to other archive managers,” he explained.
Undiksha as a PTN under the auspices of the Ministry of Education and Culture, said Yoga Yasa, had started to improve archive management. Several stages have been carried out, including forming an archive manager within Undiksha and socializing their duties and functions, calculating the workload according to letter number 2496/E1/OT.02.01/2022 from the Director General of Higher Education and Research and Technology regarding Preparation of Archivist Functional Position Requirements dated 16 May 2022 as a follow-up to the Letter of the Deputy for Archive Development for the National Archives of the Republic of Indonesia (ANRI) Number B-PK.01.00/512/2022 dated 23 February 2022 which has received results and has been submitted by letter Number 2982/UN48.5/KP /2022 dated May 20, 2022, an. The Rector/Head of the UK Undiksha Bureau with a hierarchical formation of skilled archivists as many as 52 people, 12 skilled people, 2 supervisors, 44 first experts, 6 junior experts, and 4 intermediate experts. “The main expert is not needed yet,” he explained.
Another thing that has been done by the Undiksha archivist team is to have drafted the Chancellor’s Regulations regarding Archive Retention Schedules and Archive Shrinkage Guidelines in Undiksha which has carried out two FGDs so far and is preparing to be brought to the Undiksha Senate session. “Hopefully this effort can contribute to improving archive management at Undiksha in the future,” concluded Yoga Yasa.
