Singaraja- Universitas Pendidikan Ganesha (Undiksha) maximizes the implementation of e-Office, one of which is by developing a correspondence system. This system was socialized to the relevant sections and directly launched by Undiksha’s Vice Rector for General Administration, Planning, Finance, and Resources, Prof. Dr. I Wayan Lasmawan, M.Pd, Thursday (16/3/2023). He was accompanied by the Head of Undiksha Academic, Student Affairs, Planning, and Cooperation Bureau, Drs. I Made Yasa, M.Pd.
This system was developed through UPT-TIK. In his report, the Head of UPT TIK Undiksha, I Ketut Resika Arthana, S.T., M.Kom. said that the developed correspondence system is expected to manage and organize the recording of incoming and outgoing letters in a structured and systematic manner. This correspondence system comes in two versions, the web version and the application version in the E-Ganesha mobile application menu. “With the mobile version, users can access the correspondence system from anywhere and anytime, thus facilitating work and increasing the efficiency of letter management,” he explained.
Meanwhile, the correspondence system PIC, I Nyoman Laba Jayanta, S.Pd., M.Pd., explained that through this system, all letters could be recorded or tracked to convey the disposition. The assignment, including the work, can be traced. “So that stakeholders and people interested in the letter can be well served,” he said.
There were no significant challenges in developing this system. UPT TIK only equalizes the perspectives between the programmer and the manual output process running so far. “Maybe in the future the challenge will be during implementation, because this will indirectly change the habits of friends who were originally manual, they have to switch to this correspondence system,” he said.
In the future, Laba Jayanta added, there will be additional features in this system, especially in terms of synchronization with the e-Ganesha system. “So that the notification system can go directly to the leadership system and other related parties, so that the letter can be processed immediately. Then also synchronize with google calendar so that later if there is a meeting invitation and others can immediately become an agenda on the moblie or application of each user, “he added.
Head of the Undiksha AKPK Bureau, I Made Yasa, representing the Vice Rector Prof. Lasmawan, said that this correspondence system is a form of follow-up to the e-Office service Undiksha launched in 2018. Undiksha’s administrative services are expected to be more effective and efficient through this system. “This is the direction of performance efficiency. We hope that this system can be utilized properly by related sections and staff,” he said.
He also hopes that this system can continue to be developed and the scope of services can be more comprehensive. Through this socialization, the implementation of the correspondence system is required to be effective as of 1 April 2023. UPT TIK, as the system developer, is expected to assist. (hms)
